Document Logistics Service Policy
This DOLS – Document Logistics Service Policy is effective dated: June 01, 2024

Purpose
To establish clear guidelines and service levels for the handling, receipt, and delivery of documents, specifically cheques and Bill of Lading (BL) documents, through our strategic partner blueEx through galaxefi DOLS. This policy ensures timely and secure document delivery within the city and across Pakistan.
Objective
The objective of our DOLS is to provide traders and service providers with a seamless, hassle-free experience by offering doorstep delivery and collection of essential documents. This service aims to enhance operational efficiency, reduce transit time, and ensure the secure handling of critical documents such as cheques and BL. By partnering with blueEx, we ensure that the documents are delivered swiftly and securely, whether within the city or across the country, thereby enabling our clients to focus on their core business activities without the worry of document logistics.
Scope
This policy applies to all transactions involving the receipt and delivery of cheques from customers to service providers and the delivery of BL from service providers to customers.
Policy
Receipt and Delivery of Documents
- Cheques: Cheques received from customers will be securely transported and delivered to the concerned service provider. When approached by a blueEx rider, the customers need to hand over the cheques to the rider. The acknowledgement will also be provided electronically on the galaxefi platform.
- BL: BL will be collected from the service provider and delivered to the customer. The BL will be enclosed in a folder and an envelope in order to secure the document. The customer needs to acknowledge by signing the acknowledgment upon receiving the documents.
Strategic Partnership
- All document logistics will be managed by our strategic partner blueEx.
- Documents will be enclosed in envelopes and folders provided by our platform to blueEx ensuring security and standardization.
- The entire process will be trackable via galaxefi platform and blueEx portal.
DOLS Flyers
- Small: Width = 7.45 inches x Length = 12 inches, suitable for cheques
- Medium: Width = 11.75 inches x Length = 16 inches, suitable for documents, HBL and MBL
Service Delivery Levels
- Base City: Karachi is the base city.
- Within-City Delivery: Next-day delivery for documents within the same city.
- Out-of-City Delivery: Next-day delivery for documents being transported to a different city within Pakistan.
Tracking and Security
- Each document will be assigned a unique tracking number provided by blueEx.
- In addition to the blueEx tracking number, these can also be tracked with their booking reference number (BORN) on galaxefi platform.
- Customers and service providers can track the status and location of their documents through the above-mentioned ways.
- blueEx will ensure all documents are handled with utmost care and security during transit.
Responsibilities
- Customers: Must ensure that all cheques are properly enclosed in the provided envelopes before handing them over for delivery.
- Service Providers: Must confirm receipt of documents electronically on the galaxefi platform.
- blueEx: Responsible for the secure and timely delivery of all documents as per the service levels defined in this policy.
Dispute Resolution
- Any disputes regarding document handling or delivery must be reported through Customer Care within 24 hours of the expected delivery time.
- Our support team will coordinate with blueEx to resolve the issue promptly.
Reverse Logistics
In the logistics and supply chain management context, reverse logistics involves the process of returning goods and documents from their final destination back to the original sender or another designated location. For financial and trade documents like cheques and BL, reverse logistics ensures secure and efficient handling, crucial for maintaining the integrity of financial transactions and trade operations.
In the case of cheques, reverse logistics involves the secure transport of cheques received from customers back to the relevant financial institutions or service providers. This process is vital for preventing fraud and ensuring that payments are correctly processed and recorded. Similarly, the reverse logistics of BLs entails the careful handling and return of these critical shipping documents from the consignee to the shipper or another authorized party. This is often necessary for amendments, endorsements, or for facilitating customs clearance and other regulatory requirements.
